How to use the petty cash template

  1. 1
    Set a float
Start with a fixed petty cash float, for example KES 5,000, and record it as the opening balance.
  2. 2
    Record every payment
Every payment out is recorded with a description and a receipt. No receipt, no payment.
  3. 3
    Keep the balance
The running balance plus the receipts should always equal the original float.
  4. 4
    Top up to the float
When the tin runs low, top it back up to the original float amount and file the receipts.
Tips
  • +Insist on a receipt for every petty cash payment.
  • +The cash in the tin plus receipts should always equal the float.
  • +Petty cash is where small, untracked spending hides; control it tightly.

Frequently asked questions

What is petty cash?

Petty cash is a small fixed amount of cash kept for everyday minor expenses, like transport or cleaning supplies. The petty cash template records every payment out against a receipt so it does not quietly drain the business.

How does a petty cash float work?

You start with a fixed float, record every payment out, and the cash remaining plus the receipts always equals the float. When it runs low, you top it back up to the original amount and file the receipts.

Why does petty cash need controlling?

Because small, frequent cash payments are easy to lose track of and easy to misuse. Requiring a receipt and a running balance for every payment closes that gap.

What if there is no receipt?

Insist on one. A no-receipt rule is the simplest control. If a receipt is genuinely impossible, record a signed note of what was paid and why, but keep these to a minimum.
